Outlook Calendar Time Tracking Integration for Teetrack

Use your Outlook calendar as the starting point for accurate time tracking.

Sync your Outlook calendar with Teetrack so meetings and client appointments appear alongside your tracked time for faster, more accurate timesheets.

Requirements

  • A Microsoft account with Outlook calendar access (Microsoft 365 or Outlook.com)
  • A Teetrack account: Free includes one calendar connection and manual conversion of events; automatic draft import requires Business
  • Permission to grant Microsoft app consent; a managed Microsoft 365 account may require administrator approval

How to connect

Step 1: Open calendar settings in Teetrack

Navigate to the Calendar integration settings in Teetrack and select Outlook as your calendar source to begin the connection.

Step 2: Connect your Outlook account

Sign in with the Microsoft account that contains your work calendar. Review the requested permissions and authorize Teetrack to read your calendar events.

Step 3: Check the first sync

Teetrack syncs all calendars on the connected Outlook account by default, including secondary calendars. The first sync reads 30 days back and 14 days forward; it refreshes automatically every 30 minutes. There is no per-calendar picker in the interface yet.

Step 4: Review imported events and convert them into tracked time

View synced events in the calendar and turn relevant meetings into entries manually on any plan. On Business, enable auto-import to create drafts from the last 7 days and the next day. Review the project and billable status, then confirm each draft before it counts toward tracked time, budgets, or billing.

What you can do

  • Pre-fill your day from Outlook events: Client meetings, team calls, and focus blocks from Outlook appear in context so you spend less time reconstructing your week.
  • Keep billing tied to scheduled commitments: Convert Outlook meetings and work blocks into billable time entries and assign them to the right project before invoicing.
  • Improve weekly reviews: Calendar context from Outlook helps you spot missing entries, compare planned versus actual work, and close gaps before finalizing a timesheet.
  • Works with Microsoft 365 and Outlook.com: Whether you use a corporate Microsoft 365 account or a personal Outlook.com calendar, the sync works the same way.

Frequently Asked Questions

Does the Outlook sync replace the timer in Teetrack?

No. The calendar sync provides context from your planned schedule. The timer and manual entries still capture your final tracked work.

Can I choose which Outlook calendars are visible in Teetrack?

Teetrack syncs all calendars on the connected account by default, including secondary calendars. There is no calendar-selection control in the interface yet.

Can Teetrack change my Outlook calendar?

No. Teetrack requests read-only calendar access. It cannot create, edit, or delete Outlook events, and changes to a confirmed time entry do not write back to Outlook.

Will imported Outlook events automatically become billable?

No. Even with automatic import enabled on Business, entries arrive as drafts. Review the project and billable status, then confirm them. Unconfirmed drafts stay out of tracked totals, budgets, and billing.

Why connect Outlook instead of logging time manually?

Manual logging works, but calendar context reduces forgotten entries and shortens the admin time at the end of the week, especially on meeting-heavy days.
