How to Connect Outlook Calendar to TeeTrack — Step-by-Step Guide
Connect Microsoft Outlook Calendar to TeeTrack. Works with Microsoft 365, Exchange, and Outlook.com.
Prerequisites
- TeeTrack account (Business tier or higher for auto-import)
- Microsoft account with Outlook Calendar (Microsoft 365, Exchange, or Outlook.com)
- Access to TeeTrack profile settings
Steps
Step 1: Open Calendar Integration Settings
Navigate to your TeeTrack profile settings and open the "Calendar Integration" section. You will see the available calendar providers.
Step 2: Connect Outlook Calendar
Click the "Connect Outlook Calendar" button. You will be redirected to the Microsoft OAuth consent screen. Sign in with your Microsoft account and accept the requested permissions. After granting access you will be redirected back to TeeTrack.
Step 3: Select Outlook Calendars to Sync
After connecting, TeeTrack displays a list of your Outlook calendars. Select which calendars you want to sync. Events from checked calendars will appear as draft time entries.
Step 4: Enable Auto-Import (Business/Pro)
If you are on the Business or Pro tier, toggle "Auto-Import" to automatically create draft entries from new calendar events. Free-tier users can still import events manually.
Step 5: Set Default Project
Optionally assign a default project. All imported events will be linked to this project unless overridden by a keyword rule.
Step 6: Configure Project Keywords (Pro)
Pro users can set up keyword-to-project mappings. When an event title or description contains a keyword, TeeTrack automatically assigns it to the matching project.
Step 7: Review Draft Entries
Open the TeeTrack dashboard to review imported calendar events. Each event appears as a draft time entry that you can edit, approve, or discard before it counts toward your tracked time.
Step 8: Verify and Monitor
Confirm that events from your selected Outlook calendars are appearing correctly. Check the sync status indicator in the calendar integration settings for any issues.
Verify It Works
- Create a test event in your Outlook Calendar.
- Wait up to 30 minutes for the next sync cycle (or trigger a manual sync).
- Open the TeeTrack dashboard and confirm the event appears as a draft entry.
- Edit and approve the draft entry to complete the verification.
Tips & Notes
- Works with Microsoft 365, Exchange Online, and Outlook.com
- If your org uses conditional access policies, you may need IT approval
- All-day events are skipped
- Syncs every 30 minutes
- Trigger manual sync via MCP tools
