How to Connect Google Calendar to TeeTrack — Step-by-Step Guide
Connect your Google Calendar to TeeTrack and automatically import events as draft time entries. Step-by-step guide for setup, auto-import, and smart project matching.
Prerequisites
- TeeTrack account (Business tier or higher for auto-import)
- Google account with Google Calendar
- Access to TeeTrack profile settings
Setup Guide
Step 1: Open Calendar Integration Settings
Log in to TeeTrack and navigate to your Profile page. Scroll down to the "Calendar Integration" section. This is where you manage all calendar connections.
Step 2: Connect Google Calendar
Click the "Connect Google Calendar" button. You will be redirected to Google's OAuth consent screen. Review the permissions and click "Allow" to grant TeeTrack read-only access to your calendar events. You will be redirected back to TeeTrack once authorization is complete.
Step 3: Select Calendars to Sync
After connecting, TeeTrack displays a list of your Google calendars. Toggle on the calendars you want to sync. Only events from selected calendars will be imported.
Step 4: Enable Auto-Import
Toggle the "Auto-Import" switch to automatically create draft time entries from your calendar events. Drafts do not count toward your tracked time until you explicitly confirm them.
Step 5: Set a Default Project
Optionally choose a default project that will be assigned to imported entries when no keyword match is found. This acts as a fallback so no entry is left unassigned.
Step 6: Configure Project Keywords (Pro tier)
Open Project Settings and navigate to the "Calendar Keywords" section. Add keywords that map calendar events to specific projects. Matching is case-insensitive and the longest match wins — for example, "acme corp" takes priority over "acme".
Step 7: Review Imported Entries
Go to the TeeTrack Dashboard and look for the "Review imported entries" section. Here you can confirm, edit, or dismiss each draft entry before it counts toward your tracked time.
Step 8: Verify the Integration
Check that your recent Google Calendar events appear as draft entries on the Dashboard. TeeTrack syncs every 30 minutes automatically, so new events will arrive shortly after being created in Google Calendar.
Verify the Connection
- Open TeeTrack Dashboard
- Look for 'Review imported entries' section
- Recent Google Calendar events should appear as draft entries if auto-import is enabled
Tips & Notes
- All-day events are skipped
- Cancelled events are automatically ignored
- Import window: past 7 days + next 24 hours on first sync
- Syncs every 30 minutes automatically
- Trigger manual sync via TeeTrack's AI tools (MCP)
